Privacy Policy
Who we are
Lochs, Brochs & Brides is the wedding videography service operated by Village Creative Design, based in Paisley, Scotland. We are the "data controller" for the personal data described in this policy, registered with the Information Commissioner's Office (ICO).
This policy explains what personal data we collect through this website (lochsbrochsandbrides.co.uk) and when you enquire, book or work with us for wedding videography, why we collect it, who we share it with, and what rights you have. It applies to couples, wedding guests who may appear in our footage, and anyone who contacts us through the site.
This policy is written to reflect UK GDPR and the Data Protection Act 2018. It's a general template based on how the business currently operates — it isn't legal advice, and we'd recommend a quick solicitor review before it goes live, particularly around the placeholders marked in bold.
What personal data we collect
Enquiry and contact details — name, email, phone number, wedding date and venue, and anything else you tell us through our contact/enquiry form or by email, phone or social media.
Booking and contract details — postal address, wedding-day timeline, and details of the day needed to plan filming (venue, suppliers, running order).
Payment details — we take payment by bank transfer only, so we hold the bank details needed to invoice you and reconcile payment. We do not store card numbers.
Correspondence — emails, messages and call notes relating to your enquiry or booking.
Photographs and video footage — the wedding film and any accompanying photography we capture on the day, which will include images of you, your wedding party, and guests who appear on camera.
Technical data from this website — basic server log data (such as IP address and browser type) generated automatically when you visit lochsbrochsandbrides.co.uk, used only to keep the site running securely.

Photos, video and guests on the day
As your wedding videographer, we film to document your wedding on your behalf. This means our footage will usually include your wedding party and guests, not just the two of you.
Filming guests who are present at a wedding we've been booked to cover falls under our legitimate interests (and yours, as the couple who booked us) in producing a complete, natural record of the day. It isn't practical to obtain individual consent from every guest before filming a live event.
If a guest doesn't want to appear on camera, they (or you, on their behalf) can let us know before or during the day and we'll do our reasonable best to avoid featuring them, though we can't guarantee exclusion from wide or candid shots.
Using footage or photos beyond delivering your film — in our portfolio, on our website, on social media, or in advertising — is separate from filming the wedding itself and relies on your consent as our clients. We'll agree this with you separately (for example, in your booking contract or a release form), and you can withdraw that consent at any time by contacting us, though we can't recall copies already shared or published elsewhere before you withdraw it.
Any guest who appears in footage we later use publicly can ask us to remove identifiable images of them by contacting us directly (see "Contact us", below).
Who we share your data with
We don't sell your data. We share it only where needed to run the business:
Our bank, to process bank transfer payments and receive/send funds.
Our accountant or bookkeeper, for tax returns and financial record-keepin.
Cloud storage or backup providers used to store and back up your footage securely — Google Drive.
Authorities or regulators, where we're required to by law (for example HMRC, or in response to a valid legal request).
We don't currently use any advertising or analytics companies to share data with, and we'll update this section if that changes.
Cookies and website data
Our website may use small text files called cookies. As it stands:
Essential cookies — needed for the site to work properly (for example, remembering your cookie preference). These don't require consent.
Analytics cookies — if we use a tool such as Google Analytics to understand how visitors use the site, this is only ever switched on with your consent via a cookie banner, and can be withdrawn at any time through your browser settings or our cookie preference tool.
Note: confirm which of these actually apply to the live site — if you're not running analytics or a tracking pixel, remove that bullet; if you add one later (Google Analytics, a Meta/Instagram pixel, email sign-up tracking, etc.), this section and a cookie consent banner need to be added first.
How long we keep your data
Data
Retention
Enquiries that don't become a booking
Deleted or anonymised after 12 months
Booking, contract and invoicing records
6 years, as required for UK tax and accounting rules
Raw/unedited wedding footage
Kept for 6 months after the wedding, then archived or securely deleted
Final delivered wedding film
Kept indefinitely as your archive copy and for our portfolio, unless you ask us to delete it
Marketing consent (portfolio/social use)
Kept until you withdraw consent or 3 years of inactivity, whichever is sooner
Where we no longer need data, we delete it or remove anything that identifies you.
Your rights
Under UK GDPR, you have the right to:
Access the personal data we hold about you
Correct inaccurate or incomplete data
Erasure — ask us to delete your data (subject to what we're legally required to keep, such as invoicing records)
Restrict how we use your data
Object to processing based on legitimate interests
Portability — receive certain data in a portable format
Withdraw consent at any time where we rely on it (for example, portfolio or marketing use of your footage)
To exercise any of these rights, contact us using the details below. We'll respond within one month.
Keeping your data secure
We take reasonable steps to protect your personal data and footage, including:
Password-protecting devices and storage used to hold your footage and files
Limiting access to your data to those directly working on your wedding
Using secure methods to transfer footage and files
Keeping software and devices up to date
No method of storage or transmission is completely secure, but we work to keep risk as low as reasonably possible.
Children’s data
We don't knowingly collect personal data directly from children, and our services are aimed at adults booking a wedding. However, children may appear incidentally in wedding footage as guests. Where possible, we treat this with the same care as any other guest, and a parent or guardian can contact us if they have concerns about a child's appearance in footage.
Changes to this policy
We may update this policy from time to time, for example if our services or the tools we use change. Any updates will be posted on this page with a revised "last updated" date. We'd encourage you to check back periodically.
